Day 1: Client Alignment & Job Intake — No Room for ‘I’ll Get Back to You’

Speed starts before you hang up the phone. A sloppy intake adds 2–3 days of back-and-forth. On Day 1, your goal is to leave the call with a fully qualified job order and permission to act fast.

The intake card should collect: exact job title, start date, pay rate, must-have hard skills, required certifications, and the hiring manager’s availability for candidate review. I push clients to commit to providing feedback within 3 hours of receiving a submittal — and I explain it’s the only way to hit the Friday deadline. If they hesitate, I remind them that the best contractors accept other offers in under 24 hours.

Day 2: Speed Sourcing & Outreach Blitz

After intake, you have the rest of Day 1 to pre-pipeline. But Day 2 is where you fire on all cylinders. Use AI sourcing tools to surface pre-vetted candidates and your internal database. This is the final mile. If you’ve aligned with the client on speed, you should have interview feedback before 10:00 a.m. I like to schedule a 15-minute client debrief first thing. Once the top candidate is identified, move immediately to offer.

  1. Call the candidate with a verbal offer that matches the agreed rate and start date.
  2. Send a digital offer letter with DocuSign within 10 minutes.
  3. Walk through a pre-built onboarding checklist: background check consent, I-9 verification, and direct deposit setup.
  4. Use text nudges to get all documents signed before 3:00 p.m.
  5. Confirm the start time and logistics with the client and candidate in a group email or Slack channel.
